Identify Yourself or Your Group

Because the activity and event planning process and policies at Utah State University can vary by event location and the USU student sponsoring organization, please let us know who you are so we can best serve you.

Student Involvement and Leadership | Division of Student Affairs

All departments under the Division of Student Affairs need to adhere to the Student Activity and Event Standard Operating Prosecures (SOP) for all activities and events planned and executed for FY21 (or until further notice). All Division of Student Affairs activities and events must be approved in advance by using the forms below.

  • At least six weeks should be allowed for the event approval process. All events must comply with USU Travel and Visitor Standard Operating Procedures.
  • Use this form to submit Activity or Event information to your supervisor prior to using the Service-Now form.
  • Use this Service-Now form to request approval for an Event.

College Clubs, Organizations, and Associations

All college and department clubs, organizations, and student association chapters need to adhere to the policies set forth by the college and/or department. For all activities and events the college/department adviser must give approval and be in attendance at the activity or event. 

Academic Class Activies and Events

The following information is required when engaging Event Services for an academic class or event.

  • Academic course number
  • Course description
  • Course professor

Explore and Choose Your Venue/Space

Determine which venue and space is best for your event. Need more help? Explore campus venues and spaces as well as refer to our venue layout and capacity guides.  Call our reservation team at (435) 797-0423 and they can assist you with determining which space will best suit your activity or event.

  • What type of event are you planning?
    (e.g., meeting, reception, conference, concert, dance, fair/tradeshow)
  • What is your expected attendance?
  • How would you like the space set?
    (e.g., banquet, theater, classroom, reception, poster session, exhibit hall)

Schedule Your Event

 Begin the reservation process by submitting an online request or calling one of reservation coordinators.

EMS - Online Booking Software for Event Space and Equipment
Book your event space and equipment at scheduling.usu.edu. Login to the EMS application by using your A number and strong password. Please view the instructional video or download the PDF for additional directions on How to Book Your Event online.

Contact Event Services
Call our Event Servies and Catering reservations office at (435) 797-0423. The reservation team will help you reserve your spaces, equipment, and catering needs. Event Services will communicate the event details with all campus stakeholders.

Meet with Event Host/Coordinator

To ensure a successful event, communicate space and event logistics with your assigned event host/coordinator.  Our trained staff will discuss the details of the event, create a layout if necessary, and provide an estimate of costs for the services and/or equipment needed to make your event a success.
